Inbox

What it is for. The Inbox is the operational heart of Workspace: it gathers in a single stream everything that needs your attention — tickets (IT/HR), approvals, documents to sign, announcements/communications, courses (training), tasks, surveys — and lets you read and work on them from the same screen. When you open a row, the item detail dialog opens; it changes shape based on the item type (four variants: ticket, announcement, training, document to sign).

When to use it. It is your daily starting point: to see what you need to do, follow the progress of your requests, sign documents, read communications, complete courses and — if you are an approver/manager — approve requests.

How to open it. The Inbox list is on the Home (Unified Inbox). Each row opens its detail dialog; many HR/IT dialogs (Training, 360 Feedback, My Tasks, etc.) also send you to this dialog for the detail.

  • Tab filters (with counters): All · IT tickets · HR tickets · Announcements · Communications · Training · Docs to sign · Approvals · My Tasks · Survey · 360°.
  • Text search on the subject and Refresh to reload.
  • Each row shows: type icon, title, status and date; rows you can work on show quick actions.
  • The bell at the top and the filter counters reflect unread items/items to work on.

All variants share:

  • Header: a coloured type pill (IT blue · HR pink · Announcement green · Training purple · Signature red), the item code and the current status (labels aligned with the NH state machine: Open, Assigned, In progress, Waiting for customer, Resolved, Closed, In approval L1/L2/L3, Approved, Rejected…).
  • A variant-specific body (see below).
  • Print the detail and JSON (technical view for support/advanced users).

This is the richest view, organised in tabs:

  • Details: Ticket data (subject, description, requester, dates), type-specific fields (custom fields), Labels.
  • Comments: comment history; a field to add a comment (visibility follows the process rules).
  • Attachments / Documents (N): ticket files with View / Print, Download, Download all.
  • History: changelog of transitions and changes.
  • Watchers: who follows the ticket; Watch button to follow/unfollow it and receive updates.

Main actions:

  • Change status — opens the list of transitions allowed by the process (Processes) with an optional comment field for the transition; confirm to move the ticket forward.
  • Comment — adds a note.
  • Snooze — postpones the item’s reminder.
  • Document preview (inline PDF when available).
  • ✓ Sign — opens the electronic signature with three options: drawn signature (pad), upload of a signature image (“choose from disk”), or confirmation without a drawn signature (click-through) or via MFA.
  • View / Print and Download the document.
  • The signature outcome is recorded with a tamper-proof stamp and log.
  • Shows the course progress and modules.
  • Start course — opens the assigned training content.
  • When completed, the item leaves the list of courses to take.
  • Formatted reading of the content, with any attachments.
  • ✓ Mark as read (updates the counters) and Print.

Every Change status, comment, signature or completion is recorded on the item (history/actions) and can change its filter/status in the Inbox. The available transitions always depend on the process linked to the request type (Processes). Approvals have their own dialog (Approvals).
