Approvals

What it is for. This is the dialog an approver/manager uses to decide on a request that needs authorisation (leave, overtime, expense claims, timesheets, changes, transfers, etc.), recording the decision with a signature and an audit trail.

When to use it. When an item waiting for your decision appears in the Inbox under the Approvals filter. It is the “gate” step of processes (Processes).

How to open it. Inbox → Approvals filter → open the item. The header reads Approval · .

What it shows.

  • Summary of the item to approve: requester, type, details and context of the request.
  • Comment — optional note (or required when you reject) that accompanies the decision.
  • Electronic signature (required if the process asks for it) — confirms the approver’s identity.
  • For delegation, the Delegate to (userid) field (required).

How to use it (actions).

  • Approve — authorises the request; if required, it asks for the electronic signature before confirming.
  • Reject — refuses the request; the comment usually becomes required to explain the rejection.
  • Ask for information — sends the request back to the requester for more details and puts it on hold (the requester gets a notification and can reply).
  • ↪ Delegate — hands the decision to another user (you enter their userid).
  • Cancel / Close — closes the dialog without deciding.

What happens next. The decision is recorded with the approver’s name, date/time and signature; the outcome moves the process forward to the next stage (if approved), rejects it (negative closure) or suspends it (information request). Multi-level approvals (L1/L2/L3) move on to the next approver.

Notes. Multiple approvals (e.g. timesheets, expense claims) all arrive under this filter; every decision is tracked in a non-repudiable way.
